# Departments

> Hand out what people can do a job at a time, instead of making everybody a co-owner.

Most tools give one person every button and everybody else none, so the only
way to let somebody help is to hand them the whole workspace. Cove uses
departments instead: a named set of permissions, with people in it.

## Making one

**Settings → Departments**.

<Steps>
  <Step title="Name it and pick an icon">
    Moderation, Session Hosts, HR — whatever your group already calls it.
    Fourteen icons to choose from.
  </Step>

  <Step title="Tick what it can do">
    Sixteen permissions across the workspace. Somebody who runs trainings gets
    Create sessions and nothing else.
  </Step>

  <Step title="Put people in it">
    By hand, or by Roblox rank — see below.
  </Step>
</Steps>

Somebody's permissions are everything their departments give them, added
together. Being in three departments means holding all three sets.

## Assigning by rank

A department can carry a Roblox group rank. Anybody who joins the workspace at
that rank is put into the department automatically, the moment they arrive.

People added by a rank rule are marked differently from people you added
yourself — an assignment somebody made is a decision, and one a rule made is a
consequence.

<Tip>
  Point a department's rank at one of the ranks you chose to track when you
  created the workspace. New staff then land with the right permissions
  already, without anybody filing them by hand.
</Tip>

## The full list

| Area         | Permissions                                                                                        |
| ------------ | -------------------------------------------------------------------------------------------------- |
| Workspace | Rename the workspace · Change the banner · Post announcements · Manage people · Manage departments |
| Activity     | Change activity settings                                                                           |
| Sessions | Create sessions · Manage any session · Change session settings |
| Leave | Answer leave requests · Change leave settings |
| Orders       | Change order settings                                                                              |
| Moderation | Moderate members · Revert cases · Change moderation settings |
| Verification | Change verification · Manage role binds |

Two are marked **Powerful** in the interface, because they can be used to
obtain the rest: Manage departments and Change moderation settings. They aren't
treated differently — you are just told, so granting one is a decision rather
than a discovery.

## Owners and co-owners

The workspace owner and any co-owners sit outside the department system and
always hold every permission. That is what makes it safe to delegate Manage
departments at all: no arrangement of departments can leave a workspace with
nobody able to fix it.

| Role           | Holds                                |
| -------------- | ------------------------------------ |
| Owner | Every permission, plus billing |
| Co-owner       | Every permission, except billing     |
| Everybody else | Whatever their departments give them |

Billing is the one thing no permission grants — see
[Plans and billing](/account/billing) for why.

## Before you have any

Until you make a department, only you and your co-owners can change anything.
Everybody else can see their own activity, their own leave, and the pages open
to the whole team, and nothing more.

## Permissions

| Permission         | What it allows                                            |
| ------------------ | --------------------------------------------------------- |
| Manage departments | Create departments, set what they do, assign people |
| Manage people | Create invite links, and remove people from the workspace |
